Administrative Coordinator
Hours: Full-time (35 hours/week during school year; 20 hours/week during summer break)

Established in 1998, Potomac Crescent Waldorf School (PCWS) is a small, independent, not-for-profit Waldorf school located in Alexandria, VA. PCWS offers both (i) an early childhood program commencing with parent-child classes and including pre-kindergarten and kindergarten classes, and (ii) a full grades 1-5 elementary school program. PCWS’s administration is led by its full-time Director of Administration, to whom this position will report.
- Support Director of Administration in performing clerical and administrative tasks, as needed
- Assist with transitions as necessary for all programs
- Provide support to all programs as necessary
- Set up and maintain employee IT accounts, calendars, and invitation lists
- Maintain and monitor admissions tracking system
- Coordinate tours and child observations related to admissions process
- Correspond with applicants regarding enrollment agreements
- Attend to FACTS payment plans for enrolled students
- Create and maintain school and class rosters
- Record daily attendance for all programs and communicate with stakeholders as necessary
- Coordinate with class rep and Parent Association chair(s)
- Provide all relevant student forms, as needed
- Attend to records requests First Aid/MAT/CPR Certifications
- Manage required certifications for staff and Board, including staff annual pediatric and adult First Aid/CPR/AED/MAT training and certifications
- Ensure compliance with requirements for administering medication during school hours follows requirements and with best practices for minimizing disease and injury
- Maintain office and staff first-aid and emergency supplies
- File accident and incident reports ry Compliance
- Coordinate with VA Department of Education (DOE) and other state and local agencies regarding compliance with licensing and permitting requirements
- Ensure PCWS faculty are trained in/follow all licensing requirements and are ready for inspections
- Ensure that all paperwork is properly postedCoordination
- Conduct administrative orientations for new hires
- Coordinate onboarding for new staffred responsibility with all administrators)
- Answer phones
- Monitor school entry points via electronic door access system as applicable
Qualifications
- A minimum of a bachelor’s degree or equivalent experience
- Proficiency with technology, including Google Office suite
- Excellent writing, editing, and communication skills
- Strong attention to detail
- Flexibility and reliability
- Ability to work with people productively and collaboratively
- Strong organizational skills
- Experience in nonprofit administration, especially in a Waldorf or independent school, preferred.
