Business Office Assistant
Olympia Waldorf School is seeking an efficient, well-organized professional to support the business and administrative roles of the school.
The Business Office Assistant works in a confidential capacity to support the Business Office functions. This 0.85 FTE, 35 hour per week, non-exempt position reports directly to the Business Administrator. The Business Assistant will perform a wide range of administrative and supportive duties including Human Resources tasks, financial assistance, reporting, and creating and implementing policies and procedures, and other tasks as needed under the direction of the Business Administrator. The Business Assistant also will assist in day-to-day operations by filling in where needed: front desk coverage, providing staff relief for short breaks, assisting with daily Drop off and Pick up as needed, and providing support for other administrative managers (enrollment, finance, facilities).
Below are some of the duties that this role will be responsible for:
Onboarding: Assist with onboarding new employees, uploading ID documents into employee files, initiating I-9 forms and uploading other hire documents.
Policies and Procedures: Update and review policies as directed by B.A. Implement and troubleshoot processes and day-to-day operations.
Benefits Assistance: Provide assistance with the benefits programs (Health, Dental, Long-Term Disability, HSA, 403(b) Retirement Plan, Voluntary Life and COBRA) for employees, including employee communication, open enrollment, and problem-solving.
Employee Recordkeeping: Manage Employee files according to the school’s Record Retention Policy and applicable laws. Add/Terminate/Update employee information in school databases. Track HR compliance training and schedule required training as needed.
Recruiting and Hiring: Post jobs, review resumes, reply to applicants, and forward applicants to appropriate hiring managers.
Assist in managing background check clearance and other requirements for volunteers and employees. Work with Early Childhood to help track and manage DCYF requirements.
Other duties as assigned.
The ideal candidate for this role will possess excellent interpersonal and written communication skills. Someone who does well in a fast-paced environment with lots of changing circumstances will enjoy being in this position. Additionally, the candidate will be extremely detail-oriented and have strong organizational skills; ability to work under pressure both independently and within a team-oriented environment. Knowledge of Microsoft Word and Excel is required. Previous QuickBooks, HR, and accounts payable experience preferred.
About the School: Olympia Waldorf School is a full member AWSNA and WECAN school that serves students from preschool through eighth grade. Our faculty is comprised of three early childhood teachers and assistants, eight grades teachers, specialty teachers, and a full administrative staff.
