Office Manager Job Description


Administration: Exempt

Reports To: Executive Director

Status: 40 hours weekly

Office Manager Summary:

The Office Manager works closely with the Executive Director to oversee the day-to-day operations of the organization and works with Guides in relation to their practical work and community building issues.  This position also interfaces with the Financial Manager and Board Treasurer in facilitating financial information flows and related matters.


Education, Experience & Life Skills:

  • College degree or equivalent business/life experience; 5+ years of Healthcare, Human Services and/or Non-Profit experience with strong business administration aptitude considered. 
  • Information technology (IT) proficiency with Google platforms, including Google Suite, Google Workspace; MS Office (MS Excel, Word, Outlook, Publisher and PowerPoint), Facebook, Instagram and other social media. 
  •  IT knowledge with which to provide basic technical support functions for other employees and recommend basic software, hardware and systems for internal company operations and tasks. 
  • Excellent time management skills and ability to multitask and prioritize work.
  • Effective written and oral communication skills. 
  • Attention to detail and problem-solving skills.
  • High level of organizational and planning skills in the dynamic environment of human beings reclaiming their lives.
  • Interest in or an understanding of the human being in a holistic manner: as Body, Soul and Spirit, as recognized in Anthroposophical philosophy and by many cultural traditions.


Responsibilities include but are not limited to:

  • Wide-ranging administrative functions that may change from day-to-day based on the needs of the Inner Fire Guides and Seekers. 
  • Manage day-to-day Guide schedules, meeting agendas and minutes, job postings, employee assessments, new employee orientation, and other HR responsibilities. 
  • Troubleshoot IT and office equipment matters and issues.
  • Manage and update various legal compliance and licensing requirements, insurance, incident reporting, and other safety related responsibilities. 
  • Coordinate information flows to the Business Manager in support of accounts payable, receivable, and all payroll information. 
  • Support building site maintenance and external support professionals. 
  • Support other aspects of office operations including communications and outreach, social media, and fundraising, as needed.
