The receptionist serves as the primary contact person in the front office, facilitating positive communication between parents, children, faculty and visitors to the school. In addition to assisting in the day-to-day running of the school, this person shares responsibility for the care, safety and first aid needs of children as they arise (in which case they become the first priority). In this non-faculty, staff position, the receptionist works under the supervision of the office manager.
Areas of Responsibility:
General
- Opens office & student bathrooms at 7:45 am, and locks up classrooms & office at 4:00
- Liaisons with parents/teachers
First Aid
- First aid (in collaboration with school nurse, tends to injured children)
- Records illnesses and injuries and maintains wellness room
Communication
- Serves as first contact and good-will ambassador at front desk; phones; PR person to outside world
- Coordinates, greets and directs substitutes
- Records interested families in absence of enrollment coordinator
- Checks messages throughout the day/maintains voice mail system
Clerical support
- Processes and tracks daily student attendance
- Distributes mail; keeps updated copies in files on wall next to fax machine
- Maintains postage and copier supplies/tracks use
- Assists with all-school mailings: includes summer packet and newsletter support (as needed)
- Orders and distributes program, general, office and first aid supplies
- Orders janitorial supplies in collaboration with buildings and grounds
- Provides emergency preparedness support
- Responsible for student attendance during emergency evacuation (drills)
Office maintenance
- Gathers linen throughout office for “laundry fairy”
- Keeps kitchen, wellness room, and copy room areas tidy, putting supplies away
- Waters office plants as needed/defrosts office refrigerators/maintains bulletin boards
- Maintains office, fax, postage and copy machines, including service calls; monitors paper
- Puts office in order before leaving, including tables, etc. from breezeway, and puts food away
Computer support
- Manage, program and create database files
- Manage backup and archiving of file server
- Data entry and retrieval for in-house uses and bulk mailings
- Manages network, coordinates technical support when needed
- Manages web service and e-mail assignments
- Liaison to Internet Service Provider
- Maintains anti-viral software and alerts staff to current threats
- Tracks computer updates and installs new systems and software as needed
- Technical computer support (including both hardware and software) to faculty and staff
Requirements:
Word processing and database skills
CPR/1st Aid proficiency (renewed yearly)
Typing proficiency of 45-60 wpm
Timeliness
