One direct report: Admissions Coordinator - Early Childhood
The major role of the Director of Admissions is to offer a compelling picture of the school and its philosophy of education to prospective students and their parents/guardians, as well as to facilitate the admissions process for each family. The Director of Admissions strives to enact processes that promote healthy enrollment across the admissions continuum from recruitment to retention.
SKILLS & QUALIFICATIONS:
-Bachelor’s degree and five plus years experience in Admissions and Enrollment or a related field
-Excellent written and verbal communication skills
-Ability to effectively communicate the school’s mission and engage with prospective families and students
-A self starter with a strong work ethic and attention to detail, combined with high degree of professionalism and discretion; confidentiality around the legal admissions process
-Capacity to manage multiple projects simultaneously in a fast-paced, service-oriented office
-Availability some evenings and weekends as needed
-Proficiency with student information systems and other databases (Ravenna and Mailchimp preferred)
-Willingness to embrace all aspects of the school, including engagement in events, festivals, philanthropic initiatives
-Team-oriented; collaborative working style
SUMMARY OF RESPONSIBILITIES:
-Events: host in-person and virtual admissions events
-Coordinate and conduct private and group tours for prospective families
-Relationship management: lead a high-touch, responsive, service-oriented, and legal admissions process with prospective families from inquiry to enrollment
-Process applications, request records, schedule visits/interviews, and communicate decisions for 1-12, including matriculating International Students and exchange students
Regular admissions process review meetings with Educational Support Coordinator and School Counselor
-Establish and execute procedures that welcome and integrate new families into the school
-Coordinate and internally communicate applicant and courtesy visits; greet families in the morning and end of school day
-Collaborate with Marketing & Communications in recruitment efforts such as web page, video content, social media, advertising, etc.
-Coordinate production of Admissions materials in collaboration with Marketing & Communications
-Collaborate with Marketing & Communications on Outreach program that reaches our target prospective families across all four sections of school (Early Childhood, Lower School, Middle School, High School) within a 30-mile radius
-Collaborate with Institutional Advancement Team (Admissions/Marketing/Philanthropy) and Parent Leadership to engage, activate, and train current and alumni parents, faculty, and staff to become ambassadors and volunteers as needed
-Represent the school at in-person and virtual events such as School Fairs, Farmers’ Markets
-Establish good relationships with feeder schools and other institutions that can be helpful in attracting prospective students
-Help to develop and promote new recruitment initiatives
-Support re-enrollment process through follow-up communications with first year families
-Work with pedagogical sections to establish practices that encourage conversion between school sections
-Identify reasons why families leave the school and initiate proactive procedures to reduce attrition
-Conduct exit interviews and report results with Administration leadership, Collegium Committee, Marketing & Communications
-Collaborate with Institutional Advancement Team on other events that support enrollment
-Oversee the admissions office (files, ordering); evaluate and refine procedures
-Event registration and communications
-Student applicant files
-Aggregate and report monthly admissions statistics and analytics
-Enrollment and retention statistical reports
-Attrition statistics: track and report
-Partner with the Scaled Tuition Committee/Finance Committee, and Business Office as needed; communicate trends, recommend policy changes, etc.
-Increase effectiveness of systems involving faculty and Business Office for processing applications/enrolling new families.
-Develop effective and positive working relationships with colleagues across departments
Meet with admissions team members regularly, set time goals for application turnaround, create tracking spreadsheets for teachers to view current applicant details, regular meetings with Section Chairs. Increase diversity representation in Admissions with additional team members, specifically for information sessions.
-Participate on at least one school committee
-Attend regular staff, institutional advancement, and full faculty/staff meetings
