Purpose of Job:

To plan, and deliver strategies to keep the institution’s technical systems functioning efficiently. This includes but is not limited to managing LMS, IT support managing relationships with 3rd party providers and assisting with compliance.

Responsibilities:

Learning Management System Manager & Co-ordinator

Identify the required Student Record Keeping Data required of the new CCE Learning Management System in order for the new CCE LMS system to be academically and administratively set up to be compliant from a Department of Higher Education, Council of Higher Education, SETA and SAQA perspective for auditing and reporting purposes.

●       Project manage the transition from CCE’s old to the new Learning Management System

●       Train students and staff on the new CCE LMS through regular training workshops per term as required by CCE

●     Create the CCE LMS Training Manual, custom designed for CCE

●       Design the CCE LMS Academic and Administration Compliance calendar

●       Ensure policies and processes are put in place to drive Academic and Administrative data input and reporting compliance.  

●       Ensure that CCE hosts an effective and efficient LMS that generates data for reporting purposes.

●       Ensure information required for LMS is inputted into the system by staff against the CCE LMS Institutional Calendar to meet deadlines for reporting.

●       Ensure that the LMS is academically and administratively compliant, in relation to the requirements of CHE, and DHET.

●       Identify, develop, and manage LMS ambassadors for each department.

●       Troubleshoot and resolve all technical issues pertaining to the new CCE LMS System

●       Oversee relationships with related vendors and host providers, enforcing the Service Level Agreement (SLA) and their continued service and support.

●       Design, be accountable and responsible for the effective management and execution of the annual budget approved to execute the new CCE Learning Management System and Training thereof.

 

Academic and Administration LMS Compliance

Develop with the Head of Academics and Registrar the CCE Academic and Administration Compliance Institutional calendar and manage and coordinate the academic and administration input activities required throughout the year for sound academic and administrative compliance 

●       Monitor, track and report weekly to the CCE Campus Management Meeting that all required academic and administrative data and information are inputted against strict CCE Academic and Administration LMS deadlines.

●       Drive, create and manage new policies and procedures to support and uphold the DHET, CHE, SETA, and SAQA Compliance standards of CCE.

●       Deliver effective and efficient Academic and Administrative Compliance of CCE via the LMS system and generation of reports required for reporting and auditing purposes

●     Design, be accountable and responsible for the effective management and execution of the approved budget approved to CCE Academic and Administration Compliance

 

Information Systems and Website Management 

Conduct an annual audit and generate a report on the leadership of CCE on CCE’s Information Technology Systems, Infrastructure and Assets for the short, medium and long term

●       Execute all IT systems and tool asset audits to determine the lifespan of existing systems and need for new information systems and technologies to support CCE’s innovation, growth and sustainability.

●       Provide a day-to-day IT setup and Support function to students, existing, and new staff.

●       Identify the specifications and be responsible for the purchasing and implementation of all CCE IT Systems and Technology Infrastructure.

●       Professionally vet and negotiate costs with 3rd party suppliers ensuring a minimum of 3 quotes are secured and recommendations are proposed in the best interest of CCE

●       Ensure effective and efficient Information Technology and Information Technology Infrastructure Systems are put in place, managed and coordinated as support functions

●       Drive and execute the management and updating of the CCE website, ensuring that it is up-to-date, visually appealing, and easy to navigate.

●       Design, be accountable and responsible for the effective management and execution of the annual budget approved for CCE Information Technology and Infrastructure Systems

Requirements:

●       A minimum of 3 - 5 years similar experience within an NGO and or Higher Education Institution

●       Collaborative leader with technical expertise and ability to communicate technical into layman's terms among staff and users of Information Systems and Compliance Requirements

●       Knowledge of scripting, relational database structure and applications such as HTML5, CSS, JavaScript, PHP, MySQL and Wordpress

●       Ability to lead new Information Systems and Compliance requirements of an Academic Higher Education Institution

●       Knowledge of Windows and Mac operating systems

●       Proficiency in Microsoft Office, Google Workplace, and email domains

●       Execution and implementation of Information Systems, Compliance and Change Management best practices

●       Technical support and training of support staff 

●       Effective auditing, financial and budget management 

●       Management of 3rd party suppliers and CCE Information Systems and Compliance stakeholders ie Staff and Students
